The work around each item

The image is just one step.

Collecting, linking, cropping, writing, and uploading also take time. Photopilot takes over.

  1. Collect supplier images Now Email, download, rename With Photopilot Automatically from portal, FTP, or upload In your monthly plan
  2. Search Fashion Cloud images Now Search and download per brand With Photopilot Automatically per EAN with the item In your monthly plan
  3. Link photos to the item Now Keep track of filenames and folders With Photopilot By EAN, item number, or scan in the studio In your monthly plan
  4. Crop, template, and export Now Per photo in Photoshop With Photopilot Fixed image rules per product group In your monthly plan
  5. Upload to the webshop Now Export and upload per channel With Photopilot Live automatically or after review In your monthly plan

  7. Take model photo Now Shoot day, model and styling With Photopilot Own shoot directly linked, or an AI model image Own shoot or AI

Even without generative AI, it already saves a lot of time. Collecting, matching, editing, and publishing are included in your monthly plan. Editing is done by our own AI, but it creates nothing new: every pixel of your product comes from your own photo.

To be combined per collection or product group.

  1. Without generative AI

Supplier images, Fashion Cloud, and your own studio photos are automatically matched, edited, and published. Cropping, making freestanding, and color matching are done by our own AI, but it creates nothing new.

Monthly plan from €500, no cost per image More about linking and editing
  2. Own shoot + AI

You photograph yourself; AI creates additional model images where it helps and writes the product texts.

  3. As much AI as possible

A photo with the iPhone is enough; Photopilot turns it into packshots, model images, and campaign images.

FAQ

What management wants to know beforehand

What budget should we reserve?

The monthly plan starts at €500 per month for 1,000 enriched items per year, including automatic image editing and publishing, with no startup costs; the price per item decreases as your volume grows. Linking and onboarding are free: thanks to our universal linking modules, we connect your existing POS, ERP, and webshop for free and help your team get started. You pay for generative AI per use: AI images from €0.05 per image, a fully enriched product costs about €0.01. If you want to photograph yourself and don't have a studio, a setup is required once. If you shoot with the iPhone app, that's not necessary.

What is the difference between editing and generative AI?

Editing AI works with your own photo: recognizing what's in it, making it freestanding, cropping to your template, color matching, and checking. Generative AI creates a new image, like a model photo from your packshot or a campaign image. Without generative AI, every pixel of your product comes from your own photo; even the shadow is the real one from your photo or a soft layer we calculate from your product's shape.

When do we earn it back?

You'll earn it back after the first month with extra revenue and freed-up time. In our example, we assume about 20 minutes of manual work per item; for our clients, an item in Photopilot takes on average a few seconds to just over two minutes of active time. Additionally, your collection goes online faster (for one of our clients, usually within 12 hours of arrival), customers see more visual inspiration per item, and you have better, SEO-strong texts without extra work. In Reporting, you can see how much of your assortment is online and how much time your team spends on it, so you can easily compare it to your current costs.

Nice story, but how do I know if this is all true?

We're confident you'll love Photopilot. Our regular clients use it every workday, not a single one has canceled their subscription, and our longest-standing client has been using it for nearly three years. We're so sure of it that we'll connect Photopilot to all your systems for free, and you can try it without obligation. Know one of our clients? Feel free to call them and ask yourself.

How is your support?

We typically respond to your email within an hour, and often you'll have a solution the same day. You can also call or WhatsApp us at +31 6 43424567. Many questions about how the interface works are immediately answered by Iris, our assistant in Photopilot.

Are we tied to a contract?

No. A Photopilot agreement is for an indefinite period and can be terminated by either party with one month's notice, in writing or by email. You pay monthly for the agreed modules and AI usage. If you prefer price and capacity certainty, we also offer a longer contract.

What if Photopilot goes bankrupt?

Photopilot is entirely funded by customer revenue, with no loans or investor money. So, there's no financier who can pull the plug. Approved images and texts are already in your own webshop or export folder, and you can export everything via FTP, Excel, or the API. If you want extra assurance, we're happy to arrange that with you: an escrow agreement (the source code is held by an independent escrow party and becomes available if we fail to meet our obligations), an export guarantee (you can get your images, texts, and article data at any time in an open format), a transfer plan for your integrations and data, and fixed agreements on availability and support (SLA).

Who owns Photopilot?

Photopilot is an independent Dutch company, founded and owned by Richard Lindhout. There is no retailer, brand, or fashion group behind it: you are not using a competitor's tool, and your product and customer data remain with an independent party.

What happens to our images and data if we stop?

They remain yours. The photos you provide and the edited results are owned by your organization; Photopilot only receives the usage rights necessary to deliver the service. We do not use photos with people to train AI without a written agreement.

Who do we need internally?

One contact person who knows the sources and webshop and can decide what can be automated, someone who manages access to those systems, and the people who work with them daily. After going live, the team mainly reviews the exceptions.

What do we do with the time that becomes available?

Use it where it generates revenue instead of manual work. For example: create Shop the Look sets for your best-selling items (you do this in Photopilot itself), expand your online collection because each item requires less work, and run more social media campaigns and inspiration for your customer. Your team does less cutting and pasting and more work that customers notice.

How do we measure if it works?

With Reporting: you can see per brand how much of the assortment is online, what still needs to be reviewed, and which items with stock are missing images. The productivity report shows actions and active minutes per day, component, and employee. Record in advance how long an item currently takes from delivery to online, so you have a baseline measurement.

Does Photopilot replace our photographer or studio?

That's up to you. If you want to keep your photographer, lighting, and models, Photopilot handles the surrounding work: linking photos to items, editing according to your image guidelines, and publishing. If you want fewer shoot days, you can create packshots with the iPhone app or use AI for model images, for example, during a drop without a shoot day. A mix is also possible.

It works fine now, I don't want to change too much.

Understandable. But as long as an item isn't online, it won't sell. Fast fashion and webshops that have automated their process put new collections online at lightning speed. If your new collection is waiting in the warehouse because there's no time for photography and writing, someone else will sell that look. One of our clients had over 60% of their new items online in September before the stock even arrived, and 2 out of 3 within a day. Photopilot doesn't change how you work: it takes your existing photos, supplier images, and POS data and removes the manual labor. You start small, with one collection or one source, and only expand if it works for you.

How do we keep control of AI images?

AI images undergo the same checks as your other images, set per brand or collection. Actual product dimensions control the scale, and with Fit Guarantee, the fit comes from a real shoot and only the model is swapped. A fully generated face is not of any existing person; a real face is used only with verifiable consent from that person.

Does it work with our ERP and webshop?

We source item data and images from ACA/Retailium, Business Central, easyPOS, Stockbase, Fashion Cloud, and Adobe Commerce. Publishing goes directly to Shopware, WooCommerce, and BigCommerce, and via FTP/SFTP, Azure Blob, a webshop Excel, or a webhook/REST API to other systems. In the demo, we'll see which route fits your systems.
