How Photopilot works with Stockbase

Through Stockbase, retailers receive product images from suppliers that are not always available in a brand portal. Photopilot logs in every hour with your own Stockbase account, downloads the new images, and attaches them to the right variant using the EAN. They are then processed as if they came from your own studio.

What Photopilot retrieves from Stockbase

Stockbase provides one or more product images per EAN, each with its own image number. Photopilot reads that list using your Stockbase username and password, requests the access tokens itself, and refreshes them on time. Photopilot recognizes images that have already been imported by EAN and URL and skips them. Nothing changes in Stockbase: it remains purely an image provider.

From barcode to item and color

Each Stockbase image is looked up in your item file using the EAN, down to the barcode of the size variant. This lets Photopilot immediately identify which item and color the image belongs to, even if your item numbers are structured differently from the supplier’s. If an EAN is not yet in your assortment, Photopilot will still pick up the image in a later hourly run as soon as the item exists. As a result, no one has to rename or sort images by hand.

Edit for one consistent look

Supplier images from Stockbase vary widely in background, margin, and format. Photopilot converts them to your shop rules: a white or colored background, fixed crop, aspect ratio, filename, and order per item group. If only a flat packshot is available, Photopilot can turn it into a ghost mannequin image or AI model photo. One version wins for each image slot, while the others remain visible as alternatives.

To the webshop with text included

As soon as a Stockbase image is approved or passes through autopilot, it is sent to your online store with alt text and the correct image order. For Shopify, WooCommerce, BigCommerce, and Shopware, this happens directly; other platforms receive it via FTP/SFTP, the Webshop Excel, or the API. Based on the image and item data, Photopilot also writes product copy and SEO copy, so the item is complete in one go. You decide the pace: immediately after editing or in scheduled publishing rounds.

Insights for the e-commerce team

The overview shows, per brand, how many items already have images via Stockbase and how many are still empty. Because Stockbase sits alongside Fashion Cloud, the studio, and other sources, you can also see where sources overlap or contradict each other. Images that differ or are duplicates can be sent to review as exceptions. This way, the studio only photographs what no source can provide.

How to enable Stockbase

All Photopilot needs is the login for your Stockbase account. Once it has been entered, the first retrieval run starts within the hour and the images are added to existing items. You agree in advance which brands can be processed automatically and which need to be reviewed first. No installation, plug-in, or development work is needed.

How do I connect Stockbase to my online store through Photopilot?

You give Photopilot the login for your Stockbase account and choose which webshop or export route the images should go to. Photopilot retrieves the images, edits them, and publishes them. Nothing needs to be installed.

Can Photopilot automatically put Stockbase images on a white background?

Yes. Background, crop, margin, and format are applied per item group according to your shop rules. This makes Stockbase images look the same as your studio photos.

Will I get duplicate images if Stockbase provides the same photo again?

Does the Stockbase integration still work if our item numbers differ from the supplier's?

Yes, because the link uses the variant's EAN rather than the item number. As long as the barcode is in your item file, the image is added to the right item and the right color.

Can I use Stockbase and Fashion Cloud at the same time?

Yes. Both sources appear in the same overview. Your rules determine which version wins for each image slot, and the others remain available as alternatives.

Can I review Stockbase images before they appear in the online store?

Yes. For each brand or product group, you choose whether images go through review first or run on autopilot. In review, you approve images, swap them, or send them back for editing.

Can Photopilot turn a Stockbase packshot into a model photo?

Yes. Photopilot turns a packshot into AI model photos or a ghost mannequin image. AI photos cost €0.05 to €0.21 per photo in the queue and are often ready within an hour.

What happens to Stockbase images for items we do not sell yet?

They are not imported yet. As soon as the item with that EAN is in your assortment, Photopilot picks up the image in the next hourly run.

Does Photopilot also write product text for Stockbase images?

Yes. Based on the image and product data from your own source, Photopilot writes product copy, SEO copy, and alt texts. These go to the webshop together with the images.
